Administrative Coordinator (San Diego)

An 8-billion dollar global medical device company in San Diego is seeking an experienced, detail oriented, energetic, Administrative Assistant individual seeking an excellent career opportunity. 

The Administrative Coordinator, reporting to the Regulatory Affairs Manager is a highly motivated, creative and resourceful individual. The Coordinator will be responsible for providing administrative and operational support.


Under supervisor direction, the RA Coordinator is responsible for:

  • Developing and maintaining presentation materials, including regulatory metrics and data
  • Providing internal and external meeting support, including scheduling and organizing meeting space and activities, documentation and distribution of minutes and materials
  • Ordering, receiving, tracking invoices as well as expense reports for team members
  • Assembly of submission content
  • Coordinating document legalization or apostille
  • Requesting Certificates of Foreign Government or other similar certificates
  • Controlling and maintaining regulatory records, including, but not limited to: submission documentation, establishment registrations, approval and clearance letters
  • Generate Freedom of Information requests and maintain records
  • Maintain the Latin America part number registration tracker
  • Evaluating Customer Service order for product approval verification purposes
  • Other tasks and responsibilities may be assigned, including, but not limited to: audit support

Basic Qualifications

  • At least 1-2 years’ experience in an administrative role
  • Proficiency in Microsoft Office, Excel, PowerPoint, and SharePoint
  • Strong knowledge of Quality Management Systems, and other various international regulations

Preferred Qualifications

  • Up-to-date knowledge of regulatory and quality, standards, and regulations applicable to operations and business objectives highly desired
  • Equivalent combination of experience and/or education may be considered
