Payroll Coordinator

A floral importer/distributor wholesaler in Carlsbad seeks a Payroll Coordinator. Pays 500+ off-site employees in multiple states by compiling and processing payroll information; maintaining records. 


  • Compiles payroll data from hire to termination, such as hours worked, taxes, insurance, withholdings, garnishments and employee identification number, from time keeping, time and attendance and other records.
  • Screens time-worked inputs for calculating, coding, or other errors.
  • Performs action necessary to determine pay and deductions including Federal and State taxes, insurance, retirement, union dues, savings, and other deductions.
  • Remits tax payments by collecting and verifying data; preparing federal, state, and local tax reports, and w2 statements; initiating payment.
  • Prepares regular reports alerting of payroll to problems or errors.
  • Updates records by reviewing and entering changes in exemptions, insurance changes, deductions, paid-time not worked, status, and pay; calculating vacation earned.
  • Prepares pay by verifying time records; calculating and producing checks or electronic transfers; calculating and producing quarterly incentive bonuses.
  • Inputs and updates work schedules in ADP Workforce Now and runs necessary reports for management.
  • Balances payroll accounts by auditing information; identifying and resolving discrepancies; initiating journal entries.
  • Determines payroll liabilities by entering federal and state income and social security tax information, 401k transfer and direct deposits, wage assignments and garnishments.
  • Fulfills wage garnishment requirements by completing forms; adjusting payroll records, documenting and transmitting withholdings; negotiating with collection agencies to convert garnishments to wage assignments.
  • Assist field managers and employees with clocking in/out process, payroll discrepancies and other necessary support.
  • Assists the Human Resource team with additional administrative functions/duties.

Basic Qualifications:

  • At least 3 years of Payroll Processing experience
  • ADP Workforce Now experience  
  • Bilingual in Spanish
  • Multi-state payroll experience 

Preferred Qualifications:

  • Experience in Tax, Compensation and Wage Structure, Worker Compensation, Benefits Administration, and Employment Law.
  • Successful candidate will be able to analyze information, have a high attention to detail, be confidential, thorough, with excellent verbal communication.
  • Proficiency in Word, Outlook, Excel.
